How to generate form letters from the registration list.

To create a form letter in Word-2000:

  • Open a new document (or an existing letter).
  • From the "Tools" menu, select "Mail Merge", and follow the steps presented:
  • (1) From the "Create" menu, select "Form Letters".
  • (2) From the "Get Data" menu, select "Open Data Source".
  • In the "Open Data Source" file selection dialog:
    • Go to the folder where you saved the downloaded registration list.
    • Change "Files of type:" to "Text Files (*.txt)".
    • Select the registration list file by double-clicking on it.
  • Insert "merge fields" into the text of the letter, where the variable information is to go:
    • At the point where you want the last name (for example), pull down the "Insert Merge Field" menu from the Mail Merge toolbar, and select "Last". You'll see "<<Last>>" appear in the document.
  • When the text of the letter and the merge fields are where you want them, you can generate letters by clicking on "Merge..." on the toolbar.
